Refund and Cancellation Policy
Version 1.0.0 · Effective October 5, 2026
This policy is part of our Terms of Service. It explains how renewals, cancellations and refunds work for ReceiveVault paid subscriptions. "We" means Viscous Bits Computing Solutions Inc., operating as ReceiveVault.
1. The private beta
During the private beta, accounts are free. We do not ask for a payment method and we charge nothing, so there is nothing to refund. There is no free trial.
When the beta ends, an account whose owner does not subscribe moves to the Free plan and is not charged (Terms, section 3.6).
The rest of this policy applies to paid subscriptions once paid plans launch, including a subscription taken under the founding offer.
2. Renewal
Subscriptions renew automatically at the end of each billing period, monthly or annually, at the price then in effect for your plan. The payment method on file is charged. Your invoice shows the amount, the period and any tax.
3. Cancelling
Cancel at any time from Settings, Billing in your account. Cancellation takes effect at the end of the current billing period, and you keep full access until then. We do not cancel immediately and we do not refund the unused part of the period.
After the period ends, the account becomes read-only. You can still sign in, download your files, export your records and resubscribe. If the account stays read-only for 90 days, we mark it for deletion, after warning emails around day 60 and day 83; it and everything in it are removed from the live Service within a further 31 days and leave our backups within 30 days after that. If you want the account gone sooner, close it under section 3.5 of the Terms.
4. Refunds
Monthly plans. No refunds, except where a material failure of the Service prevented all core functionality (creating requests, receiving uploads, downloading files) for a sustained part of the period you paid for. In that case we refund the affected part of the period pro rata. Otherwise, cancel and use the Service until the end of the period you have paid for.
Annual plans. No pro-rated refunds. One exception: if you cancel within 14 days of the first annual charge on your account, we refund that charge in full. This applies once per account, to the first annual invoice only, and never to a renewal. Ask at support@receivevault.com within the 14 days; the refund goes back to the original payment method and normally appears within 5 to 10 business days.
Service unavailability. If the Service was unavailable to you for a sustained period, write to support@receivevault.com with the dates. Where the failure meets the test above, the pro-rated refund applies to monthly and annual plans alike. For shorter or partial outages we may refund or credit part of the period at our discretion. The Terms do not promise uptime; this section is about money already paid for a service not delivered.
Charged in error. If you were charged after cancelling or charged the wrong amount, tell us and we will correct it and refund the difference.
Chargebacks. Please contact us before disputing a charge with your card issuer. We treat a chargeback as a refund request first and respond to the issuer with the account's records. An account with an open dispute may be placed read-only until it is resolved.
Refunds do not include a Contact's or third party's costs, and referral credits earned on a refunded invoice are withdrawn.
5. Changing plans
Upgrading takes effect immediately; you are charged the prorated difference for the rest of the current period. Downgrading takes effect at your next renewal; you keep the higher plan's features until then.
6. Failed payments
If a renewal charge fails, we email you and Stripe retries the card over the following days. You keep access during this time. If payment has not succeeded 21 days after the end of the paid period, the account becomes read-only until it does. Update your card from Settings, Billing.
7. Price changes
We email the account owner at least 30 days before a price change applies to you. It applies at your next renewal after that date. Annual subscribers keep their price until the annual renewal. If you do not accept the new price, cancel before the renewal.
8. Taxes
Prices exclude taxes. When paid plans launch, where we must collect GST/HST or other sales taxes, they will be added at checkout and shown on the invoice, together with our GST/HST registration number. Refunds include the tax charged on the refunded amount.
9. Closing your account
Closing the account (Terms, section 3.5) is different from cancelling the subscription: it deletes the account. It does not create a refund right beyond those above.
10. Questions
support@receivevault.com. We aim to respond within one business day.
